Job Summary: The Operations Admin & Analyst will be responsible for assisting the Account Manager and Site Managers with information management support and document control. The ideal candidate must perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing, and maintaining paper and electronic files, or providing information to callers. In addition, this position will be responsible for some accounting functions such as managing procurement card submissions, following up on invoicing with vendors, submitting accounting change orders, and managing miscellaneous budget items related to vendor contracts. There will some limited HR functions such as timekeeping, onboarding, uniforms, and miscellaneous pay/benefit questions. Also, they will work in the computerized maintenance management (CMMS) system generating, managing and creating reports. Proof of vaccination is required for this role.Essential Duties and Responsibilities:Proficient in the Microsoft office Suite Software, accounting software, and CMMS SoftwareReview, correct and enter time sheets into database and payroll software, onboarding of new staff, and miscellaneous pay/benefit questions. Monitors vendor invoicing to assure invoices are received on time and for the correct amount for each contracted recurring service, managing procurement card submissions, submitting accounting change orders, and managing miscellaneous budget items related to vendor contracts.Interacts with and provides reports to EMCOR internal functional groups including Dispatch, Accounting, Procurement, CMMS System Administrator, Account/Site ManagersComply with I.S.O.14001 client operations work instructions, contracts, safety program, and Company established policies and procedures.Perform additional assignments as required by the company or as directed by management.Will report to the Account Manger PositionQualifications:EducationHS Diploma, AA or BS Required Business Experience 7-10 years working in an administrative job, accounting, and/or supporting management. Working with a maintenance business or maintenance experience is a plus. Experience with a computerized maintenance management system is also beneficial. Licenses/CertificationsValid Drivers License Language SkillsMust have the demonstrated ability to effectively communicate in English, cooperate, and collaborate with multiple levels of customer, employees, unions, government agencies, vendors and suppliers, and other contractor organizations.Technical Qualifications & SkillsBusiness writing and reporting skills Excellent organization, communication, customer service and interpersonal skills Scheduling and time management skills Strategic, analytical, and multi-tasking skills Knowledge of basic accounting principles Must demonstrate proficiency in Microsoft Office applications, (i.e., Outlook, Word, and Excel).Working knowledge of financial software and Computerized Maintenance Management a plus. Must demonstrate integrity, honesty, professionalism, and appropriate concern regarding dissemination of sensitive and confidential informationMust have the ability to make sound decisions and produce accurate and timely results in mind.Must prioritize and organize work in a fast-paced multi-task environment. Must monitor and analyze data and solve problems on a tactical and strategic level.Must build positive working relationships with multiple levels of employees, management, suppliers, and customers.Must demonstrate commitment to company values.
